This Refund & Cancellation Policy explains how SendSlim Clinic (“SendSlim,” “we,” “us,” or “our”) handles payments, cancellations, rescheduling, and refunds for visits, programs, memberships, and related services.
By booking an appointment, joining a program, or making a payment to SendSlim, you are agreeing to this policy.
1. Overview
SendSlim is primarily a cash-pay telehealth clinic.
Fees are generally paid before or at the time of service.
This policy applies to:
- Telehealth visits (video or phone)
- Consultations and follow-up appointments
- Membership or subscription programs
- Certain devices or products offered through SendSlim
Labs, medications, and services from outside vendors (such as pharmacies and labs) have their own billing and refund policies and are not covered by this page.
2. Definitions
For this policy:
- “Visit” means a single telehealth appointment (new patient or follow-up).
- “Membership” or “Subscription” means a paid recurring program that may include a set number of visits, messaging, or other services during a defined period.
- “Business day” means Monday through Friday, not including major holidays.
3. Appointment Booking and Payment
- Telehealth visits are usually paid at the time of booking or before the visit begins.
- If payment is not received as required, we may cancel or reschedule your appointment.
- Visit fees cover the time and professional services of the clinician. They do not include the cost of:
- Lab tests
- Medications
- Devices (such as smart scales)
- Services from other clinics or vendors
4. Cancelling or Rescheduling a Visit
We understand that plans change. To keep our schedule fair for all patients:
- You may cancel or reschedule a visit up to 24 hours before your scheduled appointment time with no cancellation fee.
- To cancel or reschedule, use the online scheduling system (if available) or contact us using the information on our Contact page.
If you cancel or reschedule less than 24 hours before your visit:
- We may treat this as a late cancellation.
- For a late cancellation, up to 100% of the visit fee may be charged or kept.
If a pattern of late cancellations continues, we may limit your ability to book future visits or may ask you to seek care elsewhere.
5. No-Show Policy
A “no-show” means you:
- Do not join the telehealth visit (video or phone), and
- Do not contact us to cancel or reschedule before the visit, and
- Must be considered unavailable after a reasonable waiting period (for example, 10–15 minutes).
For no-shows:
- The full visit fee may be charged and is typically non-refundable.
- You may need to book and pay for a new visit if you still wish to be seen.
Repeated no-shows may result in us limiting or ending your access to services with SendSlim.
6. Refunds for Single Visits
In general, visit fees are non-refundable once:
- The visit has started, or
- You have missed the visit without proper cancellation as described above.
We may consider a partial or full refund in limited situations, such as:
- A major technical issue on our side that prevents the visit from happening.
- A clinician emergency or scheduling error that we cannot correct in a reasonable time.
In these cases, we may offer:
- A rescheduled visit at no extra charge, and/or
- A full or partial refund at our discretion.
Refunds will not be given simply because:
- You did not agree with a clinical decision (for example, a medication was not prescribed).
- You were unhappy that telehealth was not enough and were advised to seek in-person care.
- You changed your mind about weight-loss treatment after the visit has already taken place.
7. Memberships and Subscription Programs
If you join a membership or subscription program:
- You will be billed on a recurring basis (for example, monthly) to the payment method on file, until you cancel.
- Your program may include a set number of visits, messaging, or other services during each billing period.
Cancelling a membership or subscription
- You may cancel your membership at any time by following the instructions in your account or by contacting us.
- Cancellation will usually take effect at the end of your current billing period.
- You will continue to have access to included services until the end of that period.
Refunds for memberships
- In general, fees already paid for a billing period are non-refundable, even if you do not use all visits or services.
- We do not typically offer partial refunds for unused days or unused visits within a billing period.
We may consider a partial or full refund in limited circumstances, such as:
- A major error in billing (for example, you were charged twice for the same period).
- A significant service problem on our side that we are unable to correct.
Any exceptions are at our discretion.
8. Devices, Smart Scales, and Other Products
If SendSlim or its partners offer physical products (such as smart scales or other devices):
- Payment and refund terms may depend on whether the product is sold directly by SendSlim or by a third-party vendor.
- If you purchase a product from a third-party (such as a device company, online store, or pharmacy), their own refund and return policy will apply.
- If you purchase a device directly from SendSlim, we will explain the return or refund rules at the time of purchase and/or in the product listing.
Some products may be:
- Non-returnable once opened or used, for health and safety reasons.
- Returnable only within a limited time window and in original condition.
Shipping, handling, and restocking fees may not be refundable.
9. Labs, Medications, and Other Outside Charges
Labs, medications, and other services provided by outside organizations (such as:
- Laboratories
- Pharmacies
- Imaging centers
- Other clinics
are not billed or controlled by SendSlim in most cases.
For these items:
- You are responsible for any charges from these third parties.
- Questions about billing, refunds, or insurance coverage for those services must be directed to that lab, pharmacy, or facility.
- SendSlim is not responsible for decisions made by your health plan, pharmacy, or lab regarding payment or coverage.
10. Insurance Reimbursement
If you submit our receipts or superbills to your health plan:
- We do not promise that your health plan will cover or reimburse any part of our fees.
- Decisions about coverage and reimbursement are made solely by your health plan.
- We do not issue refunds if your health plan denies coverage or pays less than you expected.
11. How Refunds Are Issued
When a refund is approved:
- Refunds are usually returned to the original payment method (for example, the same credit or debit card).
- It may take several business days for the refund to appear on your statement, depending on your bank or card issuer.
In some cases, we may offer:
- A credit to your account for future services instead of a direct refund.
We reserve the right to choose the method of refund where allowed by law.
12. Disputed Charges and Chargebacks
If you believe there is an error with a charge:
- Please contact us first using the information on our Contact page so we can try to resolve it.
If you dispute charges directly with your bank or card issuer (a “chargeback”):
- We may provide records of your appointments, communications, and this policy to the bank or issuer as part of their review.
- Repeated or unjustified chargebacks may result in us limiting or ending your access to services.
13. Changes to This Policy
We may update this Refund & Cancellation Policy from time to time. When we make changes:
- We will update the “Last Updated” date at the top of this page.
- The updated policy will apply to future bookings and payments made after the new version is posted.
Your continued use of our services after changes are posted means you accept the updated policy.
